A resident reporting a problem should not have to pass through a sales inquiry form.
Explain the owner service in concrete terms
Describe the types of property the company manages and the work covered by its actual service. Explain how an owner starts a conversation and what information helps the team respond, such as property type, location, and approximate unit count. Avoid broad statements that make a limited service sound like complete responsibility for every aspect of ownership.
Keep rental and resident information current
Connect rental listings to the company's approved source and decide who maintains availability. For residents, link to the actual portal and explain which requests belong there. Use the company's verified urgent-contact instructions where appropriate. Do not invent a response guarantee or let a public marketing form appear to be a monitored urgent-service channel.
Review routing, not just traffic
Gather the owner-service descriptions, listing source, resident portal links, approved contact procedures, and real property photographs. Test each audience's route on a phone. Check that rental inquiries include the property reference and that resident links open the intended portal.
Measure owner inquiries separately from prospective-resident inquiries. Ask the team how often requests arrive in the wrong place. A high number of maintenance messages through the owner form is a navigation problem, even if form submissions look healthy in a report. The website should explain the management offer and make established processes easier to reach, with private resident matters handled through the company's appropriate systems.
